Insurance Claim Education

Plain-language tools for organizing a property-damage claim, communicating clearly, and separating restoration work from insurance coverage decisions.

Updated September 2026 · Technical review: ARS Restoration & Reconstruction

Coverage boundary: Your policy and your insurer’s written decisions control coverage. ARS can document observed conditions and restoration work, but does not interpret your policy, negotiate your claim, or provide legal advice.

A claim file that is easier to understand

Create one folder—digital, paper, or both—and keep the same basic record from the first notice through final payment:

  • Policy number, claim number, date and cause of loss as currently known.
  • Names, roles, phone numbers, and email addresses for every contact.
  • Original photos and videos plus a room-by-room inventory.
  • Emergency-service authorizations, estimates, scopes, drying or cleaning records, change orders, and invoices.
  • A dated communication log, with important verbal instructions confirmed in writing.
  • Receipts for temporary protection, lodging, meals beyond normal expense, travel, storage, and other loss-related costs.
  • A running list of open questions, who owns each answer, and the next deadline.

Questions worth asking

  • What policy form, endorsements, exclusions, limits, sublimits, and deductibles apply to this claim?
  • Is emergency mitigation authorized, and what documentation should be submitted?
  • Who is handling building, contents, and additional living expense portions?
  • What is the process for reviewing a contractor estimate or a supplemental scope?
  • Are payments based on actual cash value, replacement cost, or another valuation method, and what must occur before withheld depreciation is considered?
  • What deadlines apply to proof of loss, inventories, repairs, or claim-related communications?
  • If coverage is limited or denied, will the insurer identify the policy language and factual basis in writing?

Restoration documentation support

ARS documents observed damage, emergency work, moisture or cleaning conditions, equipment use, and repair scope. We can communicate technical information to the parties you authorize while keeping coverage decisions with the insurer.
